SYSTEM INTRODUCTION WHAT IS e-MPLOY™? e-MPLOY™ is an advanced inter-office software program specifically designed to resolve the common problems faced by the Manpower Industry in their day-to-day office recruitment affairs or transactions. I. ADMINISTRATIVE SECTION The section that is in-charge with all the supervision and data management of the whole system. This is also the section where the Admin Officer can revise, edit, update, create access codes and manage all the data being encoded on the system. Moreover, It is only the Admin Officer can monitor the ongoing transactions being made within the system. A. Accessing The Admin Section [STEP 1] Assume that you already have an access code. Example, your Username and Password is “admin.” Now, key in your access codes on the Home Page of your e-MPLOY™. Hit the Login button. [STEP 2] On the Admin Section Page, you will see a Database Statistics Table. The said table shows the current status encoded contents of the system that are categorized into Applicants, Principals and Job Orders with affixed quantity number. Notice that the Applicants category was divided to its Total Number, and its Sexes. The Principals category was divided as Brokers, Employers and Brokers/Employers. [Back to Top] B. Managing The Admin Section 1. User Admin - this part of the Admin Section would enable the Admin Officer to create access codes to the officers in charge of all the system department. It is only the Admin Officer who has the authority to create and provide access codes to his/her sub-ordinates. To Create User's Accounts [STEP 1] Hit the User Admin button on the menu bar. [STEP 2] Key in the information required on the boxes provided. Choose the system department on the selection bar for which the access codes are intend for. Click on the Add User button to add your entry on the User Lists. [STEP 3] You may edit/delete the encoded user’s information by hitting the Remove button. [Back to Top] 2. Position Admin - this part of the Admin Section would enable the Admin Officer to encode the jobs categories from its general category to the specific job position. To Add Job Categories [STEP 1] Hit the Position Admin button on the menu bar. [STEP 2] Key in the General/Main Job Category, Sub-Category and the Position on the boxes provided. Click on the Add buttons alongside with every box to add your entry on the Job Category Lists. [STEP 3] You may edit/delete the encoded job category by hitting the Remove button. [Back to Top] 3. Country Admin - this part of the Admin Section would enable the Admin Officer to encode their countries of deployment for the qualified applicants. Entering here the country name will make it be seen on every drop-down selection that requires information for country. To Add Country [STEP1] Hit the Country Admin button on the menu bar. [STEP 2] Key in the name of a country on the box provided. Click on the Add Country button to add your entered country on the Country List. [STEP 3] You may edit/delete the encoded country by hitting the Remove button. [Back to Top] 4. Clinic Admin - this part of the Admin Section would enable the Admin Officer to add, designate or change an Accredited Clinic or Hospital for the Medical Exams or check up of the applicants. To Add Clinic / Hospital [STEP 1] Hit the Hospital Admin button on the menu bar. [STEP 2] Key in the name of the Accredited Hospital or Clinic on the box provided. Click on the Add Clinic button to add your entry on the Clinic List. [STEP 3] You may edit/delete the encoded clinic/hospital name by hitting the Remove button. [Back to Top] 5. Interview Officer Admin - this part of the Admin Section would enable the Admin Officer to add, designate or change an Interview Officer who will administer the interview schedule for the applicants. To Add Interview Officer [STEP 1] Hit the R.O. Admin button on the menu bar. [STEP 2] Key in the information required on the boxes provided. Click on the Add Officer button to add your entry on the Interview Officer List. [STEP 3] You may edit/delete the encoded officer by hitting the Remove button. [Back to Top] 6. Principal Admin - this part of the Admin Section would enable the Admin Officer to encode the Principals’ Profile and Contact Information and assigning their respective access codes. To Enter Employer(s) [STEP 1] Hit the Principal Admin button on the menu bar. [STEP 2] Key in the complete Principal’s Information as being required on the boxes provided. Click on the Enter Employer button to add your entry on the Principal Database. [Back to Top] 7. Applicant Admin - this part of the Admin Section would enable the Admin Officer to manage and monitor on the progress of the qualifying Applicants on their Application processes on all the Management Mode of the database system. To Use Applicant Admin Option [STEP 1] Hit the Applicant Admin button on the menu bar. [STEP 2] Begin the searching by keying in a keyword or name of the certain Applicant you would like to monitor on the box provided. Or you can choose to select the CV No. search option by hitting the appropriate button. [STEP 3] You may choose to monitor the Applicant Status by clicking one of the Management Modes. Finally, hit the Search Applicants button. [Back to Top] 7.1. To Use Management Modes Options 7.1.1. Reception Page - the Management Mode page that allows you to encode the basic Applicants' Information that will be then included in the Applicants database system. To Encode an Applicant Data [STEP 1] On the Applicant Admin page, hit the Reception Page button. [STEP 2] Supply the required Applicant Information on the boxes provided. Then hit the Save Data button. This data entry will be included on the Applicant Database. [Back to Top] 7.1.2. Testing Page - the Management Mode page that allows you to encode your findings about the Applicants' physical attributes like the height, weight, eye vision, left and right handedness, colorblindness, dexterity, and needle testing. To Enter Ratings/Comments on the Testing Page [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the Testing Page button that will then display the result of your query. [STEP 2] Click on the name of whose Applicant you want to rate on or give comments on. Supply on the required data on the ratings/boxes provided. Hit the Save Data button. [Back to Top] 7.1.3. Interview Rating Page - the Management Mode page that allows you to encode your rating and comments on a certain Applicant after his/her interview. To Enter Ratings/Comments on the Interview Rating Page [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the Interview Rating Page button that will then display the result of your query. [STEP 2] Click on the name of whose Applicant you want to rate on or give comments on in his/her interview. Supply on the required data on the ratings/boxes provided. Hit the Save Data button. [Back to Top] 7.1.4. EDP Page - the Management Mode page that allows you to encode the full detail of the Applicants' Information that had been entered on the Reception Page. To Complete The Applicant's Data [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the EDP Page button that will then display the result of your query. [STEP 2] Click on the name of whose Applicant you want to add or complete the details of his/her resume. Supply on the required data on the boxes provided. Hit the Save Data button. [Back to Top] 7.1.5. Documents Page - the Management Mode page that allows you to monitor and manage the Applicants' Documents that are being required for their deployment. To Manage The Documents Page [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the Documents Page button that will then display the result of your query. [STEP 2] Click on the name of whose Applicant you want to monitor and manage his/her documents. On the menu bar on top, hit the Documents Page. Supply on the required data on the boxes provided. Hit the Save Data button. [Back to Top] 7.1.6. Processing Page - the Management Mode page that allows you to monitor and manage the status of the Application Process of the Applicants. To Manage Processing Page [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the Processing Page button that will then display the result of your query. [STEP 2] Click on the name of whose Applicant you want to monitor/manage/edit his/her Application Process. On the menu bar on top, hit any button on what process you wish to monitor on. You can choose Personal Info, Educational Background, Work Experience, Interview Rating and Skills, Testing Page, Document Page, and Medical Page. [STEP 3] Supposed, we clicked on the Medical Page to display the form like below. [STEP 4] You can add or assign or remove the list of Hospitals/Clinics with their medical findings and results to a certain Applicant on the Medical Record. [STEP 5] Supply on the required data on the boxes provided. If there is an error on your entry, just hit the Remove button. [STEP 6] Finally, when everything was done, hit the Back To Resume button. [Back to Top] 7.1.7. Domestic Helper Page - the Management Mode page that allows you to monitor and manage the DH Applicants' Information, together with the interview results, documents and application processes. To Manage The DH Applicant's Data [STEP 1] On the Applicant Admin page, key in an applicant name or CV No., then hit the Domestic Helper Page button that will then display the result of your query like the figure above. [STEP 2] Click on the name of whose DH Applicant you want to monitor/manage her Application Process. [STEP 3] On the bottom part of the page, hit the Edit button to manage/encode the job application particulars and status of the certain DH Applicant. [STEP 4] Supply on the boxes provided the information and details needed. [STEP 5] Finally, hit the Save button. [Back to Top] C. Searching on The Admin Section 1. Principal Search - this part of the Admin Section would enable the Admin Officer to search for the Accredited Principals encoded on the database system. To Use The Principal Search Option [STEP 1] Hit the Principal Search button on the menu bar. [STEP 2] Key in a keyword or the exact name of the Principal you wish to look for. Select the Principal’s Classification and the Country. [STEP 3] Then, hit the Search button. [Back to Top] 1.1. To Manage The Data Entry on Search Principals Option 1.1.1. Edit Information - you can edit/update the Principal's details and contact information. To Edit/Update the Edit Information [STEP 1] On the Principals List on the Principal Search page, as the result of your search query, click the Name of the Principal for whom you wanted its company profile to be edited/updated on. [STEP 2] On the bottom part of the page, hit on the Edit Information button. If done, hit the Enter Principal button. [Back to Top] 1.1.2. View Job Postings - you can edit/update the Principal's sub-companies and/or their job posts. To Edit/Update the View Job Postings [STEP 1] On the Principals' Profile hit on the View Job Postings button on the bottom part of the page. [STEP 2] On the View Job Postings page, you can Add Company or Post New Job by clicking on their respective buttons. [Back to Top] 1.1.2.1. Add Company - you can add or encode the Principal's sub-companies. To Add Company on the View Job Postings Page [STEP 1] On the View Job Postings page, hit on the Add Company button. [STEP 2] Supply the necessary required details. If done, hit the Enter Principal button. [Back to Top] 1.1.2.2. Post New Job - you can add or encode the Principal's sub-companies. To Post New Job on the View Job Postings Page [STEP 1] On the View Job Postings page, hit on the Post New Job button. [STEP 2] Supply the necessary required details. If done, hit the Post Job button. [Back to Top] 1.1.3. Delete Principal - you can add or encode the Principal's sub-companies. To Delete an Employer's Profile and Account On the Principal's Profile page, hit on the Delete Principal button. [Back to Top] 2. Applicant Search - this part of the Admin Section would enable the Admin Officer to comprehensively search a certain Applicant included on the database system. It works like an advanced search option with specific searching features. To Use The Search Applicants Option [STEP 1] Hit the Applicant Search button on the menu bar. [STEP 2] Begin the search by keying in a keyword or Name of the certain Applicant you would like to look for on the box provided. Or you can choose to select the CV No. search option by hitting the appropriate button. Or both the name and the CV No. by hitting the All option. [STEP 3] Finally, hit the Search Applicants button. [Back to Top] 2.1. To Manage The Data Entry on Search Applicants Option 2.1.1. Personal Info - you can edit/update the Applicant's basic personal details. To Edit/Update the Applicants Personal Info [STEP 1] On the Applicants List on the Applicant Search page, as the result of your search query, click the name of the Applicant for whom you wanted his/her resume to be edited/updated on. [STEP 2] Hit on the Personal Info button, on the top menu bar. [STEP 3] Supply on the required information or Applicant's personal details. [STEP 4] Finally, hit Save Data button. [Back to Top] 2.1.2. Educational Background - you can edit/update the Applicant's educational background. To Edit/Update the Applicants Educational Background [STEP 1] On the Applicants Resume, hit the Educational Background button. [STEP 2] Supply on the required information. If you had entered a wrong data, just click on the Remove button, on the Action column. If done, hit the Save Data button. [Back to Top] 2.1.3. Work Experience - you can edit/update the Applicant's work experience(s). To Edit/Update the Applicants Work Experience [STEP 1] On the Applicants Resume, hit the Work Experience button. [STEP 2] Supply on the required information on the boxes provided. Then hit the Add More button. [STEP 3] If you had entered a wrong data, just click on the Edit or Delete button. [STEP 4] If you want to encode more work experiences, do the procedure on Step 2. If done, hit the Save Data button. [Back to Top] 2.1.4. Interview Rating & Skills - you can edit/update the Applicant's interview results and ratings. To Edit/Update the Interview Rating & Skills [STEP 1] On the Applicants Resume, hit the Interview Rating & Skills button. [STEP 2] Key in your rating and comments on the boxes provided. If done, hit the Save Data button. [Back to Top] 2.1.5. Testing Page - you can edit/update the Applicant's results on physical examination. To Edit/Update The Result On Testing Page [STEP 1] On the Applicants Resume, hit the Testing Page button. [STEP 2] Key in your rating and comments on the boxes provided. If done, hit the Save Data button. [Back to Top] 2.1.6. Documents Page - you can edit/update the Applicant's required documents to be submitted for processing. To Edit/Update The Documents Page [STEP 1] On the Applicants Resume, hit the Documents Page button. [STEP 2] Key in the necessary details on the boxes provided. If done, hit the Save Data button. [Back to Top] 2.1.7. Medical Page - you can edit/update the Applicant's medical check-up results. To Edit/Update The Medical Page [STEP 1] On the Applicants Resume, hit the Medical Page button. [STEP 2] Supply on the required information on the boxes provided. Then hit the Add More button. If you had encoded a wrong entry, hit the Remove button. If done, click on the Back to Resume button. [Back to Top] 2.1.8. Job Processing Page - you can edit/update the Applicant's details prior to his/her deployment. To Edit/Update The Job Processing Page [STEP 1] On the Applicants Resume, scroll down the document and locate the Job Processing portion. [STEP 2] Right beneath the Empoyer's Company name is the job position that you will need click on to display the Job Processing Page. [STEP 3] Key in the necessary details on the boxes provided. If done, hit the Save Data button. [Back to Top] 2.1.8.1. To Upload Applicant's Picture [STEP 1] On the Applicants Resume, hit the No Picture Available button. [STEP 2] Hit on the Browse button to locate the picture location. You have the option to upload the picture right away or later by clicking the appropriate button. [Back to Top] 3. Job Order Report - this part of the Admin Section would enable the Admin Officer to monitor, retrieve or be updated with the Job Orders sent by their Accredited Principals. To Use The Generate Job Order Report Option [STEP 1] Hit the Job Order Report button on the menu bar. [STEP 2] Select on the Accredited Principal's Company name on the company list. You can select a particular Job Order Type and Job Status. Key in the span of time you want the scope of the report to be generated. [STEP 3] Finally, hit the Generate Report button. [Back to Top] 3.1. To Manage the Job Order Report Entries 3.1.1. MOFA & Visa / CLA - you can enter or delete MOFA and Visa / CLA numbers to be assigned on a qualifying Applicant. To view the MOFA and Visa / CLA List [STEP 1] On the Job Orders List on the Job Order Report page, as the result of your generate report query, click the Job Position to get into the job position details for you to update, edit or monitor. [STEP 2] On the bottom page of the Job Position details, hit the MOFA & Visa / CLA button. [Back to Top] 3.1.1.1. To Add Visa / CLA Key in a number on the box provided for the Visa / CLA. Hit the Add Visa / CLA button. [Back to Top] 3.1.1.2. To Add MOFA Key in a number on the box provided for the MOFA. Hit the Add MOFA button. If done, hit the Back to Job Details button. [Back to Top] 3.1.2. Get Applicants - you can job match an applicant to the job positions matching his/her qualification. To Job Match an Applicant On the Job Details page, hit the Get Applicants button. [Back to Top] 3.1.2.1. Search Applicants To use the Search Applicants options [STEP 1] On the Get Applicants page, select on the Job Matching job positions, check on the filters on the applicants' qualifications, and keywords. Then, submit the Search Applicants button. [STEP 2] Click on the applicant's name displayed on your search query to display the Applicant's Resume. [Back to Top] 3.1.2.1.1. Line-up This Applicant To line-up an applicant If you find the Applicant to be a potential qualified Applicant, click on the Line-up This Applicant button. [Back to Top] 3.1.2.1.2. Print Resume To print Applicant's Resume If you wish to print this Applicant Resume, just hit on the Printer Icon below the document. [Back to Top] 3.1.2.2. Go To Applicants List To use the Go To Applicants List option If you had lined-up this Applicant and wish to see your other list, click on the Go To Applicants List page. [Back to Top] 3.1.2.2.1. Approve Applicants To use the Approve Applicants option By hitting the Approve Applicants button below, you will be given the option to mark or set the arrangement of the applicant on the list from the most priority to the least. Also, you could mark an applicant it he/she is approved or will be back to the Applicant Database. [Back to Top] 3.1.2.2.1.1. To Print Applicants' Record List Click on the Printer Icon button on the left bottom of the page. [Back to Top] 3.1.2.2.1.2. To use the Close This Job option If the numbers of Applicants on the list are enough to make this job position be unavailable, hit the Close This Job button this will display a Notice above the table that says This Jobs is Already Closed for Sourcing. [Back to Top] 3.1.2.2.1.3. To use the Reset options for the priority of deployment Hitting the Reset button will set the Priority Arrangement boxes into blanks. [Back to Top] 3.1.2.2.1.4. To use the Save Changes option Hit the Save Changes button if you perform any changes on the settings of the record. [Back to Top] 3.1.2.2.1.5. To use the View Job Details option To have an idea on the particulars of the job order position being monitor, hit the View Job Details button. [Back to Top] 3.1.3. Applicant List To view the sourced applicants on the Applicant List option To view on the all Applicant that had been outsource, click on the Applicant List button. [Back to Top] 3.1.3.1. Print Resume To print the Applicant's Resume Hit on a name of a particular applicant on the list to display his/her resume. Look for the Printer Icon button on the bottom part of the page and click it to display the printer-friendly version of the resume. Hold on the Control key and "P" to the print the document. Approved Status of an Applicant To use the Approved Status of an Applicant on the Job Order Procesing portion of the Resume On the Applicant List, hit a name of an applicant to display his/her resume. Scroll down the page and go to the Job Order status. Hit on the Approved status. This will display an option window for the applicant to accept or reject the job position. [Back to Top] 3.1.3.3. Approve Applicants To use the Approve Applicants option Refer on the procedures on 3.1.2.2. Go To Applicant List, 3.1.2.2.1. Approve Applicants. [Back to Top] 4. Interview Reports - this part of the Admin Section would enable the Admin Officer to monitor the scheduled Interview of the qualifying Applicants. To Use The Interview Report Option [STEP 1] Hit the Interview Report button on the menu bar. [STEP 2] Key in the span of time you want the scope of the Interview Report Schedule to be generated. Also, you may select on the Date Status to specify more your request report generation. [STEP 3] Then, hit the Generate Report button. [Back to Top] 4.1. To Manage the Interview Report Entries 4.1.1. MOFA & Visa / CLA - you can enter or delete MOFA and Visa / CLA numbers to be assigned on a qualifying Applicant. To view the MOFA and Visa / CLA List [STEP 1] On the Job Orders List on the Job Order Report page, as the result of your generate report query, click the Job Position to get into the job position details for you to update, edit or monitor. [STEP 2] On the bottom page of the Job Position details, hit the MOFA & Visa / CLA button. [Back to Top] 4.1.1.1. To Add Visa / CLA Key in a number on the box provided for the Visa / CLA.
